Potters Studio Booking and Cancellation Policy


We are legally required to set out our booking and cancellation policy for guests, which is as follows:

  • We will hold a room provisionally for a mutually agreed length of time (usually 24 hours) after which we would expect payment of deposit of one nights’ rate (per room) by credit/debit card (immediately) or cheque (within 3 working days). If stay is for one night only, we will ask for full balance of payment. If deposit/full payment is not received within these times the reservation will be cancelled.
  • At this time we will also ask for your full name, address (if corresponding by post), home telephone number and email address.

  • We also require a damage deposit of £50 (payable at time of booking), which is refundable within 14 days of departure, providing:

    - No damage, breakage or losses to furniture, fixtures or fittings has occurred
    - The studio is left in a clean and tidy condition and does not require excessive cleaning.
    - It is the registered guests responsibility to ensure the studio is left as found. The damage costs are not limited to the £40 deposit charge.

  • On receipt of deposit we will forward booking confirmation, by post or more usually email, together with other relevant paperwork (directions etc).
  • Full balance is due on arrival to Tre-pol-pen. We will accept cash or debit/credit cards at this time or should you wish to pay by cheque we will require this at least 5 working days in advance of your arrival. There is a surcharge of 2.8% for payment of balance by credit card and 40p for balance payment by debit card. We do not hold large amounts of change in the house so if paying by cash please have the correct amount available.


    We understand that sometimes it is necessary to cancel a booking for medical or other reasons and we treat each cancellation on an individual basis.

    As a general rule
  • If cancellation occurs up until one month before arrival we will only retain deposit (or full payment for single night reservations) and should we be able to re-reserve the room/s we will return deposit in full less £25 administration charge plus card payment charges we incurred from payment of deposit.
  • Under one month before arrival, we will retain deposit and may charge a percentage of the balance due (up to 75%) depending on lateness of cancellation, time of year, number of rooms booked and period of stay. Once again, it will depend on whether we are able to re-reserve rooms.
  • In the very rare circumstances that a guest declines payment of compensation for very late cancellation we are lawfully allowed to charge credit or debit cards for reasonable payment due and/or carry out a claim through the courts.
  • We will always try and re-schedule stays if possible, minimising loss of charges to guests as far as we can. However, charges still may be incurred depending again on season, lateness of cancellation, number of rooms, period of stay.

    In practice, we very rarely experience cancellations and if guests are unable to come they will always try and let us know as early as possible which is very much appreciated.

If deposit/full payment is not received within these times the reservation will be cancelled.
  • At this time we will also ask for your full name, address (if corresponding by post), home telephone number and email address.
  • We also require a damage deposit of £100 payable on booking, which is refundable usually within 14 days of departure, providing:

    - No damage, breakage or losses to furniture, fixtures or fittings has occurred
    - The studio is left in a clean and tidy condition and does not require excessive cleaning.
    - It is the registered guests responsibility to ensure the studio is left as found. The damage costs are not limited to the £100 deposit charge.
